4.2: carry out appropriate changes to improve the collection, formatting, storage and dissemination of information and knowledge

The
current Google’s knowledge and information structures are vulnerable to various
potential problems in collecting, formatting, storage and dissemination of
information. In particular, the expansion projects in various global regions
such as Google in the UK would lead to large-scale incremental processing of
data such as distributed transaction and notifications. As noted from the
modern business world, responding to rules and logics of business such as real
time response to the customers’ needs is vital. 

Therefore,
some of the appropriate changes that Google Company should consider in
improving its current system of managing knowledge and information include:

Management Information Systems (MIS):Managing Communications

MIS
provides support to programmed decisions that are made in response to
structured problems. The primary purpose of MIS is to help Google Company to
meet its organization’s needs by filling various gaps existing in the
communication processes (Baldauf & Stair, 2010).  

Decision
Support System (DSS)

DSS
enables organizations in the decision-making process by providing relevant
information that relates to a particular situation of interest. In the context
of Google Company, using DSS forecasts on profitability by the marketing
department, through which information is provided about the product pricing
decisions promptly, perform risk analysis, and among others. Consequently, this
would help in minimizing customer complaints on the same (Baldauf & Stair,
2010).

4.3: implement a strategy to improve access to systems
of information and knowledge

To
implement of this strategy, Google must integrate MIS and DSS within the
current systems, which would result in the improvement of decision-making
process through appropriate management of information and knowledge systems.

First, the Google management should perform the Company’s SWOT analysis to identify the weakness associated with the systems and plan to improve. The MIS provides the most detailed information management systems from lower and middle management with electronic reports, as well as inquiry capabilities to help in maintaining operational and administrative control of the Google enterprise (Baldauf & Stair, 2010).

Additionally,
both DSS and MIS are integral parts of strategic and tactical knowledge systems
of decision-making by managers at all levels. Subsequently, this would increase
interdepartmental interactions, resulting in increased sharing information
focused on the need to improve customers’ satisfaction.

In
particular, MIS is characterized by its ability to produce directly or
indirectly reports from database; thus, avoiding interference and delays in the
transaction process. It also maintains the security of central databases where
local managers can access local databases without encountering heavy
telecommunication costs of working with a central base (Baldauf & Stair,
2010).

The
long-term implementation of MIS and DSS would help Google Company manage
information and knowledge systems more easily than in the past. Besides, this
would yield a better strategic competitive advantage over business rivals
through improved data management systems. This would subsequently result in
continuous customers’ satisfaction, increased profitability, and the overall
Google business success in the expansion project in the UK (Baldauf &
Stair, 2010).   

Conclusion

The role of managing communications, knowledge, and information is vital for any business organization to realize its goals and objectives. Moreover, it provides the basis for explicit, tactic, and operational knowledge of organization’s decision-making processes. As a result, it serves as ingredients for improved performance, competitive advantage, and continuous improvement of the organization.
