The follow-up report will aim at reviewing the communication problems that had earlier been communicated to the staff as per the complaints that had been made by the students. The complaints relate to issues that are affecting the students in their quest to participate in online studies as they are unable to attend physical classes due to the lockdown measures. The report will inform the staff about the approaches that the organization has taken to address each barrier communication that had been communicated earlier. Also, the proposed strategies to deal with the issues raised and eliminate the barriers will be communicated. It will involve the use of communication theories that relate to the organisation and their application towards solving the communication issues that have been raised.
The success of BusinessUnited as an organisation is highly dependent on ensuring that there is effective communication between the management and the staff as well as the staff and the students. It is important to address the barriers to communication that have been identified to ensure the successful continuous running of the organisation. The identification of the challenges that are caused by the barriers is one step in the right direction. However, it is important to follow this by developing effective strategies to tackle the challenges and communicating them effectively to the concerned parties to ensure that they understand and implement them. The development of the strategies will be guided by the various theories that apply to communication in organizations. The theories that will be used in the report will include the postpositive theory, the information theory, and the critical theory as the management aims to come up with the most effective strategies. The following is a discussion on the barriers that were identified and the strategies that the organization has adopted to ensure that the barriers are addressed and tackled effectively (Blundel and Ippolito, 2008).
Organization Communication Barriers and Strategies Developed to Overcome Them
The adoption and application of different organisation communication theories and strategies are critical in ensuring that these barriers are dealt with once and for all. One of the theories that are applicable in the situation that the organisation is faced with is the critical theory. The conflicts that the organisation is going through as a result of these barriers are naturally occurring and nobody will be considered to be at fault for their occurrence. Conflicts are expected to occur naturally as long as the organisation is in operation (Bui et al.,2015). As the management, our focus will be more directed towards finding ways to keep the employees motivated and ensure that they have the proper equipment to communicate properly with the students. We believe that this effort will minimize the level of conflicts by eliminating some of the barriers that have been established in communication. As long as the communication is made more effective the staff will be more eager to deliver and the students will more interested in the classroom. The management has already ordered new laptops that would be more effective and will enable better communication between the students and the teachers (Sotirin, 2014).
Also, the organization has already invited experts to advise on the Wi-Fi that can be installed on the campus and which will give a stronger network quality to avoid any interruptions as the online classes are in progress. Solving this issue will overcome some of the barriers that have been reported including the technical barriers and the emotional barriers. This is expected to improve the communication between the teachers and students and also motivate the teachers and ensure full participation of students in the online sessions. Ensuring that no part of the lesson is missed by the students due to the poor signal will improve the teacher’s delivery to the students. It will also reduce the amount of time that a teacher takes to drive a point to ensure that it is understood by the students in a particular session. Having the latest laptops and a good network will enable the organization to reduce the time that a session takes if necessary, as the teachers will be able to cover a wide area in lesser time without any interruptions. Thus, students won’t be bored due to long lesson periods, the time that students will sit and participate in online lessons will be reduced, and no part of the lesson would be missed due to interruptions caused by the poor network (Fuchs, 2016).
The management has also considered the effectiveness of applying the information theory to ensure that fewer mistakes are made in transferring information. There is a need to understand the issues being raised by the students, and how effectively they can be resolved without missing the mark or addressing the real issue. A team will be informed to handle the most complex barriers that have been established and come up with the most effective approaches to counter the barriers and ensure that the students are well settled in the online sessions. Also, the management will ensure that there is the creation of proper and clear avenues to be able to receive direct feedback from the teachers without so many complications. This will be able to clear most of the ambiguity in communication and issues will be easily resolved. The creation of an environment that encourages free communication will solve most of the barriers and will ensure that it is done on time. Easy flow of communication and less bureaucracy will create a more friendly environment where the teachers and students will be able to communicate their problems more freely. Also, the communication will be more clear thus increasing the chances of employing the right strategy while dealing with the organizational issues and eliminating the existing barriers (Tronconi, 2015).
. The third theory that the management will apply in its effort to counter the challenges posed by the existing barriers will be the postpositive theory. This will involve engaging the teachers and the students and setting up the rules and the conditions that are supposed to be met and adhered to during the lecture sessions. Orderliness will be ensured and the interruptions of the sessions by any form will not be allowed (Miller, 2000). Communication about the measures will be made to all students and the teachers and any student going against the set rules will not be tolerated. Every student will be required to attend the online sessions at the time that has been set to avoid any unnecessary interruptions. Also, they will be required to be orderly and follow the instructions as provided by the teacher who will be in charge in the whole session unless he or she delegates authority to a student. Failure to adhere to the set rules will be punishable by using various actions that will be discussed among the management, the teachers and the students (Miller, 2005). The rules and the actions to be taken will be communicated to all. This will overcome the noise barriers thus giving the serious students a better chance of participating in the online lectures without much interference. Also, the teachers will have an easy time delivering in the sessions, and the time taken in a session will not be unnecessarily long. Besides, a large number of students will be made to attend the sessions and behave in a manner that is orderly thus making the learning process more effective. The barriers that are involved by the lack of orderliness which includes the noise barriers will be resolved. Thus, it will be easy for the serious students to concentrate while the class is in session when the strategy is effectively employed (Miller, 2008).
There is a need to introduce and embrace a culture of open communication in Business United between the students and the teachers, as well as the management and the teachers. This will enable the organisation to deal with the barriers more easily and at an early stage before more damage is caused. There will also be a better understanding between the various parties especially between the management and the staff, thus making it easier to work together towards the various strategies to eliminate the barriers. Also, better results will be achieved by ensuring that the strategies that have been recommended will be fully implemented, and there will be follow up to check their effectiveness and make improvements where necessary. Therefore, there is a need for open and less bureaucratic communication to overcome the identified barriers.
The application of various theories will guide BusinessUnited in developing strategies that will be effective in ensuring that the communication barriers in the organisation are dealt with. It will be better to approach the issues with strategies that will encourage more open communication that will consider the concerns of all the parties involved to ensure that the efforts made are more effective. It will also be important to apply the communication theories to provide better approaches to address the challenges. Thus, overcoming the communication barriers will be possible by ensuring that the most effective strategies are adopted.
